Terms & Conditions – Hebrew Order of David International Events

1. Overview

These Terms & Conditions (“Terms”) apply to all events (“the Event” or “Events”) organised by Hebrew Order of David International (“the Organiser”, “we”, “us”, or “our”).
By purchasing a ticket, participating in any fundraising activity, or attending any Event, you (“the guest”, “attendee”, or “participant”) agree to abide by these Terms.

All Events are held in support of the charitable aims and objectives of the HOD Charitable Trust, a registered charity in England and Wales (Charity No. 1057220).

2. Charitable Purpose and Transparency

All proceeds from ticket sales, raffles, auctions, and donations are used to support the charitable objectives of the Hebrew Order of David International.

Where a portion of the ticket price covers event-related costs (e.g., venue, catering, entertainment), this will be clearly stated. All net proceeds are donated to the charity.

Any individuals or organisations collecting funds on behalf of the Hebrew Order of David International do so only with written authorisation and in compliance with the Charities Act 2011 and the Fundraising Regulator’s Code of Practice.

3. Event Details and Security

Event dates, times, and general information are published through official channels.
For security reasons, the exact venue address and entry details may be shared only with confirmed ticket holders prior to the Event.
The Organiser reserves the right to refuse or revoke attendance for safety or security reasons.

4. Ticket Purchase and Refund Policy

Tickets (including entrance tickets, raffle tickets, and other event-related tickets) must be purchased through the Organiser or authorised representatives.
All ticket sales are final and non-refundable, except where the Event is cancelled by the Organiser (see Section 11).
Tickets are non-transferable without prior written consent.
Each ticket admits one person only, unless otherwise stated.
Attendees must comply with all venue rules and entry conditions.

5. Raffles, Prize Draws, and Gaming Activities

Raffles, prize draws, or casino-style games may be held for entertainment and fundraising purposes.
All such activities are operated in accordance with the Gambling Act 2005 as “incidental lotteries” or “non-commercial gaming” for charitable purposes.
Participation is restricted to attendees of the Event, and all proceeds go directly to charity.
Raffle tickets are non-refundable, even in cases of non-attendance.
Prizes are non-exchangeable, non-transferable, and cannot be redeemed for cash.
The Organiser reserves the right to substitute prizes of equal or greater value if necessary.
No cash gambling is permitted at any Event.

6. Auctions

Charity auctions may take place as part of an Event.
By placing a bid, you agree to honour your bid if you are the successful bidder.
All auction sales are final and non-refundable.
Payment must be made promptly using the method specified by the Organiser.
Ownership of auction items transfers only upon full payment.
Item descriptions are provided in good faith; the Organiser is not responsible for third-party inaccuracies.
Certain auction items (e.g., experiences, travel, or third-party donations) may be subject to additional terms from the donor or provider.

7. Age Restrictions

Unless otherwise stated, Events are open to guests aged 18 and over.
Proof of age may be required upon entry or when purchasing alcohol.
The Organiser reserves the right to refuse admission to anyone unable to verify their age or who fails to comply with entry requirements.

8. Behaviour and Conduct

Guests are expected to behave respectfully towards staff, volunteers, and other attendees.
The Organiser reserves the right to refuse entry or remove any guest for inappropriate, disruptive, or unsafe behaviour.
No external food, drinks, or alcohol may be brought into the venue unless expressly permitted.
Illegal, abusive, or discriminatory behaviour will not be tolerated.

9. Alcohol Licensing

Alcoholic beverages served at Events are provided under the venue’s premises licence or a valid Temporary Event Notice in compliance with the Licensing Act 2003.
Guests must be aged 18 or over to consume alcohol.
The Organiser reserves the right to refuse service to anyone appearing intoxicated.

10. Accessibility and Special Requirements

The Organiser aims to make all Events accessible.
Guests with accessibility or dietary needs should inform the Organiser at least 7 days before the Event.
While reasonable efforts will be made to accommodate such requests, this cannot always be guaranteed.

11. Event Changes, Postponement, or Cancellation

The Organiser reserves the right to make changes to the Event (including date, venue, or programme) where necessary.
In the unlikely event of cancellation by the Organiser, ticket holders will be offered either:
- A full refund, or
- The option to donate the ticket value to the charity.
Refunds will not be issued for non-attendance, lateness, or circumstances beyond the Organiser’s control (e.g., weather, illness, transport disruption).
The Organiser is not liable for related costs such as travel or accommodation.

12. Liability

Attendance is at the guest’s own risk.
The Organiser accepts no liability for any loss, damage, injury, or theft incurred during the Event, except where caused by negligence.
Guests are responsible for their personal belongings at all times.
Nothing in these Terms limits liability for death or personal injury caused by negligence.

13. Data Protection and Privacy

Personal information collected for ticketing, registration, or fundraising will be processed in accordance with the UK GDPR and the Data Protection Act 2018.
Data will be used solely for event administration, communication, and related charitable purposes.
Attendees may receive updates about future events or campaigns but may opt out at any time by contacting ukgl@hebreworderofdavid.org.
Information will not be shared with third parties except where required for event delivery or legal compliance.

14. Gift Aid (Where Applicable)

Eligible UK taxpayers may choose to add Gift Aid to voluntary donations, allowing the charity to reclaim basic-rate tax.
Gift Aid cannot be applied to ticket purchases, raffle entries, or auction bids.

15. Complaints and Dispute Resolution

Any concerns or complaints about fundraising practices should be submitted in writing to ukgl@hebreworderofdavid.org.
The Organiser will acknowledge and respond within a reasonable timeframe.
If your concern is not resolved, you may contact the Fundraising Regulator via www.fundraisingregulator.org.uk.

16. Compliance with Law

All Events and fundraising activities are conducted in accordance with the Charities Act 2011, Gambling Act 2005, Licensing Act 2003, and all other applicable UK laws and regulations.
Attendees must comply with all relevant venue rules and public safety requirements.

17. Acceptance of Terms

By purchasing a ticket, entering a raffle or auction, or attending any Event organised by the Hebrew Order of David International, you confirm that you have read, understood, and agree to these Terms & Conditions.
The Organiser reserves the right to amend these Terms at any time without prior notice.
